This collaborative process, where both the employee and employer sign the form, is integral to incorporating the desired modifications.

Understanding the Joint Declaration Form:The joint declaration form serves as an Employees’ Provident Fund ( EPF ) document specifically designed to rectify member details in the Provident Fund ( PF ). It functions as a unified form requiring the signatures of both the employee and employer. This form is then submitted to the regional PF commissioner to rectify inaccuracies in the employees’ PF accounts.

Scope of Changes:The joint declaration form allows modifications to be made across 11 parameters, including name, gender, date of birth (DOB), parental names, relationship status, marital status, joining and leaving dates, reasons for leaving, nationality, and Aadhaar number (Unique Identification Number or UID).

Step-by-Step Guide:

-Visit the EPFO website: epfoindia.gov.in.

-Navigate to the ‘For Employees’ section under services as you scroll down the options.

-Click on the specified option, leading to a new webpage: https://www.epfindia.gov.in/site_en/For_Employees.php.

-On this webpage, access the services section and choose the second option: Member UAN/Online Service.

-Upon selecting this option, a new webpage, the member interface, will open.

-To avail the services, input your UAN, password, and captcha.

-Opt for the ‘Manage’ option on the top ribbon.

-In the dropdown menu, select ‘Joint Declaration.’

-Enter the member ID to access the required details.

-This is the stage where you can upload the necessary documents for making changes.

-Once the request is submitted, it will be visible in the employer login, and an automatic email notification will be sent to the employer’s registered email.

It’s important to note that a member can only rectify data for accounts generated by their present employer.

Notably, on August 23, 2023, the EPFO released a standard operating procedure (SOP) for processing joint declarations for member profiles. The SOP categorizes changes as major or minor; for example, a change in name phonetics is considered major, while changes involving two or fewer alphabets are considered minor. Additionally, both major and minor changes require documentary proof for validation.
